Terms of use
In effect from 10 October 2026
These are the terms on which Aasanix is provided to a library. By opening an account, or using one, you agree to them. If you are opening an account for a business, you are agreeing on its behalf.
In short
- Your library's records are yours. You can download a complete copy at any time, including after you stop paying.
- The first 7 days are free, with no card. After that there is a monthly or yearly fee, paid in advance and not refunded.
- If a payment is missed, nothing stops in the middle of a day. You have 7 days, and then the library can be read and downloaded but not added to, until it is paid.
- You are responsible for what you record about your readers, and for having the right to record it.
- We work to keep the software running and correct. We cannot promise it will never fail, and what we owe you if it does is limited.
1. The service
Aasanix is software, used through a web browser, for running a study library: its seats and shifts, its readers and their terms, fees and receipts, attendance, and the accounts that go with them. What each plan includes is shown on the home page.
We improve it continually, so screens and features change. We will not take away something a library depends on without telling it first, through the News screen inside the product.
2. Your account
- Give accurate details when you sign up, and keep them up to date.
- Keep your password and PIN to yourself.
- You decide who else works in your library’s account, and you are responsible for what they do in it. Take away an account as soon as somebody leaves.
- Tell us straight away if you think somebody has got into your account.
3. The free trial, plans and fees
- A new library is free for 7 days. No card is asked for.
- After that, the library chooses a plan. Each plan has a price and limits — on seats, staff accounts and branches — which are the ones shown on the home page on the day you pay.
- Fees are paid in advance, for a month or a year, at present by UPI or bank transfer. If a tax is payable on a fee by law, it is added to the price unless the price says it is included.
- Fees are not refunded once the period they pay for has started, except where the law requires it. If you decide to stop, your plan runs to the end of the period you have paid for.
- If we change a price, we will say so at least 30 days before, and the new price applies from your next period — never to one you have already paid for.
4. If a payment is missed
- Nothing changes in the middle of a working day. A trial or a paid period ends at the end of its last day, by your library’s own clock.
- For the next 7 days the library works as usual, with a reminder on the screen.
- After that it becomes read-only: everything already recorded can still be seen and downloaded, but new readers cannot be enrolled and new payments cannot be taken.
- Paying brings it back as it was.
5. Your records
Everything you and your staff enter belongs to your library. You give us permission to store it and work on it only as far as is needed to provide the service to you.
You can download a complete copy at any time — as an Excel workbook, as CSV files, or in a documented format another product can read — on every plan, and also when a library is read-only or being closed. We do not sell your records and do not use them for advertising. The Privacy notice says who can see them.
6. Your readers' information
You decide what to record about your readers, and you are the one responsible to them for it. We handle it for you, on your instructions. That means it is for you to:
- record only what you need, and only what you are allowed to keep;
- tell your readers what you keep and why;
- get a parent’s or guardian’s consent before enrolling anybody under 18, and record it;
- answer a reader who asks to see, correct or erase their details — the product has a register for these requests, and a way to erase;
- remove a staff account when that person should no longer see your readers’ details.
7. Fair use
Please do not:
- use the service for anything unlawful;
- try to reach another library’s records, or to get around the limits of your plan;
- probe, overload or interfere with the service, or sign up by automated means;
- resell the service, or let others use your account as if it were theirs, without our agreement.
8. The demonstration library
“Look around first” on the home page makes a demonstration library filled with invented readers and receipts. It is deleted after about a day. Please do not enter real people’s details into a demonstration library.
9. What the software is not
Aasanix keeps your books; it does not give accounting, tax or legal advice. The receipts you issue, the taxes you owe and the registers the law asks you to keep remain your responsibility. Check the figures that matter to you, as you would with any tool.
10. Keeping it running
We work to keep the service available and correct, and to fix what goes wrong quickly. We do not promise that it will be available at every moment or free of every error, and from time to time it will be briefly unavailable for maintenance. Our hosting provider keeps backups; you are also free, and encouraged, to download your own copy regularly.
11. Ending
- You can stop at any time — by not renewing, or by asking us to close the library.
- We may suspend or close a library that seriously or repeatedly breaks these terms, or that remains unpaid. Unless there is an urgent reason, we will tell you first and give you the chance to put it right.
- When a library is closed, its records are kept for 60 days, during which you can still download them and the closing can be called off. After that they are deleted, and cannot be brought back.
12. What we are responsible for
The service is provided as it is. To the extent the law allows:
- we are not liable for loss of profit, loss of business, or other indirect loss arising from your use of the service, or from its being unavailable;
- our total liability to you in any twelve months is limited to the fees you paid us for the service in those twelve months.
Nothing in these terms limits a liability that the law does not allow to be limited.
13. Changes to these terms
If we change these terms in a way that matters, we will say so through the News screen inside the product at least 30 days before the change takes effect. If you do not agree with a change, you can stop using the service and take your records with you.
14. Law and disputes
These terms are governed by the laws of India. If something goes wrong, please write to us first; most things can be settled that way. Failing that, the courts of India have jurisdiction.
15. Contact
If you run a library on Aasanix, write to us from Help inside it; the answer arrives on the same screen. An email address for anybody who is not a customer will be published on this page.
